Rules and Regulations

‘The Poona Western Club’ welcomes all our members and guests. We hope you have a great time on our premises. The following rules and regulations of ‘The Poona Western Club’ (The Club) are set forth in the best interests of our members and the club management team and are effective as of 1st November 2018. We request all our members and guests to follow these rules at all times.

1) The Club General Rules

  • The hours of operation of the Club are 6 am to 11 pm all seven days of the week.
  • All members and guests must be registered at the front desk.
  • Vehicles must be parked in areas designated by the Club.
  • Pets are not permitted on the Club premises.
  • Smoking is permitted only in designated smoking areas.
  • Only staff members are allowed in the service areas of the Club.
  • Visitors and members are expected to keep the premises clean and use all club assets with care.
  • Members and guests are strictly advised not to leave litter for others to clear up and to remove any litter left on the court, viewing area, or seating area and deposit it in the nearest dustbin.
  • Members/Guests might be requested to leave the premises of the Club in the event of,
    • Display of unsatisfactory/unprofessional behaviour.
    • Failure to abide by the rules and regulations established for use of the Club Facilities.
    • Unreasonable and abusive behaviour towards any personnel or employees of the Club.
    • Sexual assault or Sexual harassment towards any personnel or employees of the Club, other members and guests.
    • Conduct by a member that is improper or likely to endanger the welfare, safety, harmony or reputation of the Club or its members.
    • Being found to be in possession of weapons in the premises of the Club.
    • Failure in payment of dues, fees, charges or any other amount owed to the Club in a proper and timely manner.
  • Dress code: It is expected that members and their guests will dress in a fashion befitting the surroundings and atmosphere provided in the setting of our Club. Additionally, only guests and members with appropriate sports attire and footwear will be allowed to access the sports facilities. Appropriate sports attire and footwear doesn’t include jeans, shirts, trousers, salwar kameez, chappals, leather shoes, sandals or walking barefoot amongst others.
Violation of any of the above-mentioned rules will attract disciplinary action by the Club.

2) Sports Specific Rules

Sports Dress Code:
  • The club will not allow anybody to use the sports facilities in casual dress e.g. jeans, shirts, trousers, salwar kameez, chappals, leather shoes, sandals or barefoot.
  • Cricket attire: White dress with full pant and shirt or a common colour of the team with full pant and shirt.

Gymnasium

  • Members are requested to go through a general physical check-up before signing up to any fitness activity at the gymnasium.
  • Members must obtain and submit to the respective club authorities a ‘No objection certificate’ from their doctor/physician if they have a history of medical illness, Blood Pressure, diabetes, cardiac issues, injuries etc.
  • Members are requested to carry their own towel to the Gymnasium.
  • Members are expected to rack all the weights, clips and bars after use to keep the Gymnasium floor clean and injury free.
  • Members must use all the equipment for its intended purpose and follow the instructions provided by the trainer.
  • If unsure of how to use the equipment, please ask the fitness trainer to assist you.
  • When using any automated equipment, make sure the equipment has come to a complete stop before stepping onto or getting off it.
  • Infant, toddlers and children under the age of 12 are not allowed in the Gymnasium.
Table Tennis, Carrom, Card games and Billiards
  • Carrying liquids or eating around TT tables, carrom boards, card tables and billiards tables is strictly prohibited (including library room).
  • Members are also not allowed to place any items e.g. water bottles, books, bags on the above mentioned recreational and sports equipment.
Swimming
Members must ensure that a lifeguard is available at the pool before they start swimming. If a lifeguard is not available, it automatically implies that the swimming pool is closed and swimming is not allowed at such times.
  • It is compulsory to wear a swimming cap and appropriate swimwear while swimming. Appropriate swimwear does not include salwar kameez or t-shirt or trousers etc.
  • Running is not allowed in and around the pool.
  • Diving is not allowed for safety purposes.
  • Do not use the pool if you have a contagious illness.
  • Children under the age of 12 years must be supervised by an adult or a trainer at all times.
  • Babies and toddlers must wear aqua nappies or specifically designed baby swim trunks.
  • Members and guests must observe and follow all rules and regulations displayed in the swimming pool premises.
Guidance for Footwear on various Sport Surfaces: General Guidance
  • Outside shoes are not allowed on any sports facilities especially gymnasium, cricket nets, futsal court, badminton and tennis courts.
  • Please carry an alternate pair with you at all times to avoid being stopped from entering the courts or the gym. Cricket Ground
  • Sports shoes, spikes and studs are allowed. Cricket Net Pitches
  • Shoes with spikes are not allowed. Other sports shoes are allowed. Futsal
  • Shoes with spikes are not allowed. Turf shoes or other sports shoes are allowed. Gymnasium Recommendations
  • Olympic weightlifting: Weight lifting shoes with a heel
  • Deadlifting: Flat soled shoes like Converse
  • Treadmill: Normal running shoes Tennis/Badminton
  • Non-Marking shoes are allowed (Non-marking shoes are shoes that have sole material that does not scuff off and leave marks on the floor).
Code of Conduct
  • Property or furniture belonging to the Club shall not be moved from the room in which it is placed or outside the club premises.
  • The member of the Club shall be liable for any property damage caused by the member, any family member or guest of the member on the club premises.
  • Vandalism on the club premises will not be tolerated and will attract a penalty of Rs.1000/- and payment of repairs/replacement of damaged goods.
  • If a member of the Club is sponsoring a private party, he/she shall be responsible for the conduct of the member’s guests.
  • The member of the Club sponsoring any private party or organising any event shall be responsible to maintain the property of the club e.g. tables, chairs, restrooms etc in good condition. In the event of any damage the member (host) will be charged a fine equalling the damage to the property.
  • Please note that anybody seen writing, leaving marks or scrapping the walls will be subject to strict disciplinary action. The Club may at any time, and from time to time, restrict, suspend, or terminate, for cause or causes described in the preceding paragraph, any member’s privilege to use any or all of the club facilities. No such member shall be entitled to a refund of any membership dues or any other fees on account of any such restriction, suspension or termination of membership privileges.
  • Facility Bookings The Club encourages the use of the club facilities by members and non-members for private events, sports, business, art and cultural activities.
  • All facility bookings must be requested by emailing the Club at enquiries@thepwc.in
  • Members and non-members who wish to book any facility are required to agree in advance a list of all the facilities needed during the event and ensure that the club is able to provide those on the day. E.g. projector, mic, chairs, tables, refreshments, ground preparation for cricket etc.
  • A non-club member is only allowed to book the banquet, courtyard and Cricket Maidan for events and tournaments. Sports session bookings
  • Where an activity is booked in advance (e.g. badminton, cricket nets, TT, carrom, tennis, swimming, futsal, group classes), full payment must be made in advance to secure the booking.
  • If a booked session and/or activity is overrun and a new session time has started, the customer will be charged for the additional session that was not booked.
  • There will be no refunds for the cancellation of a session booked on the badminton courts, tennis courts, swimming), futsal, cricket nets or group classes. Rescheduling is possible. Please use the club app to do so or contact the reception.
  • Pay per use: Sports academy members are allowed to book facilities of the club at the specified rates.
  • 3) Cricket Maidan

    • A non-refundable deposit of Rs. 2000/- must be paid upfront to confirm the booking and full amount must be paid within 7 days of the Club confirming the booking on receiving the payment of deposit.
    • If complete payment is not made within 7 days of the Club confirming the booking, the club reserves the rights to allocate the booking to any other interested party.
    • If it rains one day before the tournament, the club will compensate the booking hours lost on another day agreeable to both parties. However, if it rains on the same morning/evening/during the day on the day of the booking, there will be no refund nor compensation for the time lost. (This rule is applicable to other tournament bookings for sports like tennis, football and futsal too)
    • Members must vacate the premises at the end of a booked session.
    • If a booked session and/or activity is overrun and a new session time has started, the customer will be charged Rs. 500/- per extra 15 minutes.

    4) Banquet, Courtyard and Event Bookings

    • A non-refundable deposit of Rs. 2000/- must be paid upfront to confirm the booking and full amount must be paid within 7 days of the Club confirming the booking on receiving the payment of deposit.
    • If complete payment is not made within 7 days of the Club confirming the booking, the club reserves the rights to allocate the booking to any other interested party.
    • Private catering services are allowed until the Poona Western Club Restaurant & Bar are functional.
    • For private catering, prior permission must be taken from the club management.
    • Members must vacate the premises at the end of a booked session.
    • If a booked session and/or activity is overrun and a new session time has started, the customer will be charged Rs. 500/- per extra 15 minutes.
    • The member is responsible to ensure that the banquet hall is left clean and no damage has been caused to the property of the Club.
    • Wet and dry waste disposal policy must be maintained at all times.
    • During events, members are asked to assist in maintaining required service levels by making reservations, changes or cancellations 24 hours in advance.
    • Pre-purchased tickets may be required for special events. Members will be notified of the ticket booking process by the Club.

    5) Food and Beverages

    • Edibles and beverages from outside are not allowed on the club premises (water bottles and electrolytes for sports are allowed).
    • It is not permitted to carry any food items including chewing gums on the Maidan, courts and artificial turfs (water bottles and electrolytes are allowed).
    • Alcoholic beverages will only be served at the bar or during events with prior approval. Alcoholic beverages will not be sold to anyone under the age of 21 years as per the state law.

    6) Club Usage for children

    • Age restrictions apply for the use of facilities and equipment based on activity chosen. Please enquire at the reception or with the coaches.
    • Under 12-year olds must be accompanied by parents/guardians while entering the club.
    • Children aged six years or below are allowed in the children’s play area and must be accompanied by parents/ guardians at all times.

    7) Guest Visits

    • Guests of members will be extended guest privileges subject to applicable guest fees, charges, rules and regulations established by the Club.
    • A guest must be accompanied by a member all the time.
    • A maximum of four guests are allowed per member per day.
    • Guests coming on a day pass will have access to the whole club and must be accompanied by member at all times. The day pass will be active for one full day (club operational hours).
    • The ‘guest fee’ is applicable only for a guest coming with a member and not for banquet bookings, courtyard bookings or events.
    • Guest privileges may be denied, withdrawn or revoked at any time for reasons considered sufficient by the Club in its sole and absolute discretion.

    8) Waste Disposal and Hygiene

    • Please use the dustbins to throw trash and any other waste segregated into dry and wet waste separately.
    • Guests seen littering, spitting, throwing cigarette buds other than in dustbins will be fined Rs.1000/- and/or barred from entering the club premises.

    9) Safety and Security

      • Every member and guest visiting the club is expected to know and follow the safety policy of the club.
      • Any member, family member or guest who, in any manner, makes use of, or accepts the use of, any apparatus, appliance, facility, privilege or service whatsoever owned, leased or operated by the Club, or who engages in any contest, game, function, exercise, competition or other activity operated, organized, arranged or sponsored by the Club, either on or off the club facilities, shall do so at his or her own risk.
      • Each member as a condition of membership, and each guest as a condition of invitation to the club facilities, assumes sole responsibility for his or her property.
      • Every member is responsible for their own safety and security at the Club. The Club does not take responsibility for member’s safety on the premises.
      • The Club shall not be responsible for any loss or damage to any private property used or stored at the club facilities.
      • CCTV vigilance

    – The Club property is surrounded by CCTV cameras both inside and outside the property and all activity is closely monitored by the club security staff at all times.

      • Security guards

    – Security guards are stationed everywhere in the premises to ensure safety of the members while at the club.

      • First aid kit

    – A first aid kit is available at the reception for emergencies.

      • Emergency contact numbers

    – All emergency contact numbers are displayed at various locations at the club and always available with the reception staff.

    Modifications in these rules and regulations will be communicated to all members via email/website, the Club mobile-app or by displaying on the club premises.
